Terms of Service

These Terms of Service ("Terms") govern your access to and use of GuidePix (the "Service"), operated by Zendo Home Technologies, LLC ("Zendo," "we," "us"). By creating an account or using the Service you agree to be bound by these Terms. If you are accepting on behalf of an organization, you represent that you have authority to bind that organization.

1. The Service

GuidePix is a hotel operations platform that lets organizations ("Operators") coordinate work through a live Dispatch board, import and review property reports, create visual SOPs, assign and communicate with staff, manage operational requests, document work with live-camera photos, and review activity and reports. GuidePix works alongside an Operator's property management and other systems; it does not replace those systems as the system of record.

2. Accounts and access

Operators are responsible for the actions of every user they invite, for assigning appropriate roles and property access, and for keeping sign-in links, temporary worker codes, and shared devices secure. Operators must promptly remove access that is no longer needed and notify us of suspected unauthorized use.

Operators are also responsible for the accuracy and legality of staff contact details, room and property data, SOPs, imported reports, assignments, and other content they provide. Worker access codes are temporary credentials and must not be posted publicly or shared with anyone other than the intended worker.

3. Acceptable use

• Do not upload content you do not have rights to use.
• Do not submit recycled, screenshotted, screen-recorded, or otherwise non-live photos to defeat the verification workflow. We reserve the right to flag, reject, or suspend accounts engaged in submission fraud.
• Do not use the Service to harass workers, surveil individuals outside the scope of a legitimate operational task, or violate any applicable employment, privacy, or labor law.
• Do not intentionally capture guests, staff, reflections, payment information, identity documents, or other sensitive material when it is not necessary to document the assigned work.
• Do not use temporary worker codes, messaging, report imports, or property email addresses to gain unauthorized access or introduce malicious or misleading content.
• Do not attempt to reverse engineer, scrape, or interfere with the Service or the AI models that power it.

4. Automated and AI-assisted features

GuidePix may use device-based checks and selective AI-assisted processing to transcribe uploaded reports, read limited details in a photo, translate content, or flag records for manager review. These outputs are probabilistic and may be incomplete or wrong. Some records are deliberately parked for human review rather than imported automatically. Operators must review imported data, flagged records, translations, and any output that could affect a guest, room assignment, worker, or operational decision.

AI and automated checks are aids, not judgments of record. Operators must not rely on them as the sole basis for discipline, pay, termination, guest charges, safety decisions, or other decisions with legal or similarly significant effects. Zendo does not guarantee a particular transcription, translation, classification, image-reading, or review accuracy.

5. Billing

Paid plans are billed monthly in advance based on each non-comped property's active room count. A trial may be offered as shown at signup. Normal transactional text messaging and selective AI review are included subject to the plan's fair-use allowances. Current usage and allowance information may be shown in Billing. We may warn, delay, limit, or require approval for excessive or unusual usage, but paid overage charges will not be added without the account owner's express approval. Fees are non-refundable except as required by law. We may change pricing on at least 30 days' notice.

6. Customer data

You retain ownership of the SOPs, photos, and other content you upload. You grant Zendo a worldwide, royalty-free license to host, reproduce, transmit, translate, analyze, and process that content solely to provide, secure, support, and improve the Service in line with our Privacy Policy. You represent that you have the rights and notices required to provide that content to GuidePix.

7. Messaging and operational communications

Operators direct GuidePix to send transactional texts and emails to the staff contacts they provide. Operators are responsible for obtaining required consent, keeping contact information accurate, honoring opt-outs, and using messaging only for legitimate operational purposes. Message and data rates may apply. Delivery is not guaranteed and can be affected by carriers, recipient devices, internet access, spam controls, and third-party services.

8. Availability and third-party systems

GuidePix depends on internet access and third-party services, including property systems, cloud hosting, messaging, email, AI, and payment providers. Imports and inbound messages may be delayed, incomplete, duplicated, formatted unexpectedly, or unavailable. Operators should maintain reasonable fallback procedures for dispatch, guest requests, staff communication, safety, and other time-sensitive work. We may modify or discontinue features and do not guarantee uninterrupted or error-free availability.

9. Suspension and termination

We may suspend or terminate accounts that violate these Terms, fail to pay, or pose a security risk. You may cancel at any time from billing settings; cancellation stops future billing and access at the end of the current period. Following termination, content may be deleted according to our retention practices and legal obligations. Operators should export any records they are required to keep before access ends.

10. Disclaimers

The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.

11. Limitation of liability

To the maximum extent permitted by law, Zendo's aggregate liability for any claim arising out of or relating to the Service shall not exceed the fees you paid to Zendo in the twelve months preceding the event giving rise to the claim. Zendo shall not be liable for any indirect, incidental, special, consequential, or punitive damages.

12. Governing law

These Terms are governed by the laws of the State of Delaware without regard to its conflict-of-laws principles. Disputes shall be resolved in the state or federal courts located in Delaware.

13. Changes

We may update these Terms from time to time. Material changes will be announced via the Service or by email. Continued use after the effective date constitutes acceptance.
